Welcome to CSP Schools (“the Website”). By accessing and using this Website, placing an order, or submitting payment, you agree to the Terms & Conditions and Privacy Policy below. If you do not agree, please do not use this Website.

1. Who We Are

CSP Schools is an online photo ordering platform used by parents and guardians to order school portraits, digital image files, and photo products.

CSP Schools and Studio22 are brands and divisions of Samprop (Pty) Ltd.
Studio22 is the selected printing facility for all products ordered through this Website.

CSP Schools does not take the photographs. Our responsibility is limited to facilitating:

  • online ordering
  • payment processing
  • printing and production
  • dispatch and delivery of physical products
  • manual distribution of digital image files (where applicable)

2. Photography & Photographer Liability

The photography service is provided by an independent photographer and/or photography provider appointed by the school.

Any responsibility, liability, and disputes relating to:

  • how the photographs were taken
  • photographer conduct on photo day
  • missed learners / absent learners
  • posing, facial expression, uniform appearance
  • access, scheduling, or arrangements made by the school or photographer

remain the responsibility of the photographer and/or the school, and not CSP Schools, Studio22, or Samprop (Pty) Ltd.

3. Printing Partner & Dispatch Location

All printing, production, and fulfilment is performed by Studio22.

All products are produced and dispatched from:

Studio22
Cape Town, South Africa

4. Product & Printing Responsibility

CSP Schools and Studio22 take responsibility for the print production process, which includes:

  • print quality (within normal production tolerances)
  • materials used
  • manufacturing/assembly of photo products

Our liability is strictly limited to printing and production.

We are not responsible for:

  • photography quality
  • lighting, focus, expressions, or posing
  • limitations originating from the original captured image
  • customer mistakes when selecting products, sizes, or entering reference numbers

5. Made-to-Order Products

All products sold on this Website are made-to-order (custom produced after payment has been received).

Because of this:

  • orders cannot be cancelled once in production
  • returns/refunds are only considered for genuine production defects (see Section 10)

6. Ordering Using Reference Numbers

For privacy and security reasons, learner portraits are not displayed on this Website.

To place an order, customers must use the Image Reference Number from the learner’s QR order card.

Customers are responsible for ensuring the correct reference number is entered.

If an order is placed using the wrong reference number:

  • the order will still be produced
  • the customer will be billed at the standard price, as all items are made-to-order

7. Online Ordering Period & Cut-Off Dates

This Website is expected to operate as an ordering platform only until the official school cut-off date (which may differ per school).

After cut-off:

  • products may no longer be available
  • delivery options such as bulk school delivery may no longer apply
  • late orders may not be possible

8. Pricing, Payments & Payment Processing

All pricing is displayed in South African Rand (ZAR) inclusive of VAT.

Orders are only processed once payment has been successfully completed.

Payment processing is handled via secure third-party payment gateways. CSP Schools, Studio22, and Samprop (Pty) Ltd do not store full payment card details on our servers.

9. Delivery & Dispatch

Delivery options may include (depending on your school):

  • door-to-door courier delivery
  • PostNet delivery
  • pickup (if offered)
  • bulk delivery to the school (if offered)

Dispatch timelines are estimates and may vary depending on production capacity and courier delays.

Once an order has been dispatched:

  • CSP Schools and Studio22 are not liable for delays beyond our control
  • CSP Schools and Studio22 are not liable for loss or damage in transit, but we will assist with claims where possible.

10. Returns, Reprints & Defects

Because all products are custom printed, we do not offer refunds due to:

  • change of mind
  • incorrect size selection
  • incorrect reference number entry
  • dissatisfaction with the photo content (pose/expression)

If you receive a product with a genuine printing/manufacturing defect, please contact us within 7 days of delivery.

Approved defects may result in:

  • a reprint, or
  • a replacement, or
  • a refund (in specific cases, at our discretion)

11. Digital Files (Manual Email Delivery)

Digital files are not made available as automatic downloads.

As a security measure, digital images are delivered manually via email, where applicable.
Please allow 5–7 working days for processing.

Once the digital files have been emailed:

  • CSP Schools and Studio22 are not liable for loss, deletion, or misuse
  • customers are responsible for storing and backing up their files
  • customers must ensure their email address is correct

12. Privacy Policy & Data Protection

CSP Schools is committed to protecting learner and customer privacy.

12.1 No Online Portrait Display

We do not display learner portraits publicly on this Website.

12.2 Data We May Collect

To fulfil orders, we may collect and process:

  • customer name and contact details
  • delivery address
  • email address
  • order details and reference numbers
  • payment confirmation information (via secure payment gateways)

12.3 How We Use Data

Data is used only for:

  • processing orders
  • printing and fulfilment
  • dispatch and delivery
  • customer support and order-related communication

12.4 Storage and Retention

While it is our intent to keep order and image-related information on secure systems:

  • CSP Schools does not guarantee permanent storage of image files or order data
  • after the ordering period and fulfilment process ends, access to previous orders may not remain available

We do not store unnecessary private information and aim to minimise stored personal data as far as reasonably possible.

13. Limitation of Liability

To the maximum extent allowed by law:

  • CSP Schools, Studio22, and Samprop (Pty) Ltd will not be held liable for indirect loss, consequential loss, loss of profit, or emotional distress
  • our total liability is limited to the value of the product(s) supplied, where applicable

14. Website Availability

We aim to keep the Website stable and accessible, but we do not guarantee uninterrupted operation.

CSP Schools is not liable for downtime caused by:

  • server issues
  • software maintenance
  • third-party service interruptions
  • internet-related interruptions

15. Updates to These Terms

These Terms & Conditions + Privacy Policy may be updated from time to time. Updates become effective immediately once published on the Website.
